Vendor & Contractor Access Guidelines and policy
To protect the safety, security, and overall well-being of the community, and in accordance with the Association’s governing documents and the Georgia Condominium Act, all vendors, contractors, and service providers performing work, including maintenance, within any unit or common element must comply with the following requirements:
Scheduling & Approval Requirements
Non-Emergency Work:
All vendor or contractor visits must be scheduled through Management at least 48 hours in advance.
This allows for proper coordination of:Parking and loading areas
Elevator usage (if applicable)
Building access and safety
Minimizing disruption to residents
Important: If you have not received a formal calendar confirmation from Management, the visit is not approved and may be denied access. Unauthorized vendor access will be considered a violation of the Association’s Rules and Regulations.
Work Hours
Standard Work Hours: Monday through Friday, 9:00 AM – 5:00 PM
Weekend Work: Strictly limited to emergencies only, as defined above.
Work outside of approved hours is prohibited unless expressly authorized by Management, and is subject to violations and fines.
Emergency Work
In the event of an emergency (e.g., fire, flood, active water intrusion, plumbing failure, HVAC outage, or other conditions posing immediate risk to persons or property), vendors may respond without advance scheduling.
However, Management must be notified in writing as soon as reasonably possible following the emergency response.
Architectural Control (ACC) & Renovations
Any renovation, alteration, or modification to a unit or common elements requires prior written approval from the Association.
Owners must submit an Architectural Control Committee (ACC) application and receive formal approval before any work begins.

Certificate of Insurance (COI) Requirement
Mandatory Compliance:
All vendors and contractors must have a valid Certificate of Insurance (COI) on file with Management before arrival on-site.The COI must:
Name the Association and Management as Additional Insureds
Include General Liability and Workers’ Compensation coverage (as applicable)
Be current and valid for the duration of the work
No COI = No Access.
Vendors who arrive without an approved COI will be denied entry.This requirement is consistent with the Association’s authority under its governing documents and applicable provisions of the Georgia Condominium Act to regulate use of the property and protect the Association from liability.
owner Responsibility & Enforcement
Unit Owners are responsible for ensuring their vendors and contractors comply with all Association policies.
The Association reserves the right to:
Deny access to non-compliant vendors
Stop work in progress
Assess fines or charge-backs for violations, damages, or administrative costs
General Authority
These guidelines are adopted pursuant to the Association’s governing documents and the authority granted under the Georgia Condominium Act to regulate the use, maintenance, repair, and modification of units and common elements, and to protect the health, safety, and financial interests of the community.
